Introduction

Nansemond-Suffolk Academy was founded in 1966 and has continued to fulfill its objective of educating young people. The Academy’s programs place a strong emphasis on intellectual, social, and physical growth so that its students will take active and fulfilling roles in society. The administration and faculty, drawing on decades of experience as well as parental guidance and support, have defined the school’s policies and expectations. It is through these efforts that NSA can provide an educational climate in which all students may achieve their best.

SUMMER PROGRAMS POLICIES AND PROCEDURES PHILOSOPHY

Nansemond-Suffolk Academy Summer Programs is committed to extending the children enrolled the care and guidance normally found in the home. Summer Programs provides careful supervision of children in a setting that fosters self-esteem and friendships while providing enjoyable social play and study activities. The primary objectives of the program are:

  • To assume the responsibility for the supervision, protection, and well- being of each child enrolled.
  • To meet the emotional, intellectual, and developmental, health and safety needs of all children enrolled.
  • To provide a comfortable environment for children of different ages to interact with each other in a neighborhood type setting.
  • To insure that all activities and expectations of the program complement the philosophy of Nansemond-Suffolk Academy

General Policies

Admission
Only those campers who have completed the regular enrollment form in the current camp catalog and are entering grades Kindergarten through Grade 10 are eligible for participation in NSA Summer Programs. Parents are encouraged to contract enrollment prior to the beginning of camp, however campers are accepted at any time based on space availability.

Fees and Charges
All billing is processed through the Business Office.

Staffing
NSA Summer Programs is staffed by a director, activities coordinator, canteen coordinators, teachers, and counselors. These personnel report directly to the Lower School Headmaster. All copies of tuberculosis tests, criminal records checks, and personal references are kept on file in the Headmaster’s Office. Our staff also has to report any suspected child abuse as required by #63.1-248.3 of the Code of Virginia.

Withdrawal
Parents are informed of behavioral concerns and conferences are requested when necessary. A child would be asked to withdraw if the child presented a serious problem and did not respond to normal disciplinary measures, the same measures used by NSA during the academic year.

Sign In and Out
In the school’s continuing efforts to ensure the safety and well being of all students, parents must come to the Camp Canteen to sign out any student not leaving at the regular time. If a student returns they should be signed back in at the Camp Canteen.

Times of Operation
Camp begins at 8:00 a.m. and is dismissed at 3:00 p.m. Morning Specialty Camps begin at 8:30 a.m. and dismiss at 12:00 p.m. Afternoon Specialty Camps begin at 1:00 p.m. and close at 3:30 or 4:00 p.m. depending on the camp. Extended Care is offered each day from 3:00 p.m. until 6:00 p.m. The Camp afternoon bus leaves at 3:00 p.m.

Food
Campers are provided a morning and afternoon snack. Campers may either pack a lunch from home or purchase a choice of a hot dog, hamburger, chicken patty, barbecue with V-8, applesauce or pizza from the Camp Canteen.

Lunch Boxes
Lunches brought from home must be labeled with the child’s name, in a lunch box or sealed container, and dated.

Insect Repellent and Sun Screen
Parents desiring sun-screen and insect repellent for their child must send it to the Camp in the original container labeled with the child’s name. NSA Summer Programs must have written parent authorization giving camp staff permission to apply and noting any adverse reactions the child may have had to the product. Manufacturer’s instructions for age, dosage, and duration will be followed. A record will be kept that includes the child’s name, date of use, frequency of application and any adverse reactions.

Health Services
All Camp staff is First Aid and CPR certified. Parents are required to complete a Student Medication form for any medicine to be dispensed. Medications must be brought to the Camp Canteen by a parent. Parents must pick up ill students promptly when notified. The Camp Canteen is prepared to handle first aid situations. All injuries and illnesses are reported to the parent by the staff. All critical emergencies will be processed through 911 and transported to Louise Obici Hospital. Parents will be notified immediately to dictate further medical care.

Non-prescription and prescription medication must be brought to the infirmary from home by a parent. Long-term medications require a doctor’s orders to be administered at Camp. Parents must report any communicable diseases to the Camp within 24 hours.

Medication Policy
Prescription and nonprescription medication shall be given to a child only with written authorization from the parent. Medication administration shall be consistent with the manufacturer’s instructions for age, duration, and dosage. Expired medication needs to be picked up within 14 days or parents must renew authorization. Medications not picked up will be disposed of. Long-term prescription drug use and over-the-counter medication may be allowed with written authorization from the child’s physician and parent. Medication shall be labeled with the child’s name, the name of the medication, the dosage amount, and the time or times to be given. Medication shall be in the original container with the prescription label or direction label attached. When needed, medication shall be refrigerated.

Registration and Health Forms
All parents are required to complete the prescribed registration form and return it to the director. Campers not enrolled at NSA must supply the Camp with a copy of MCH-213 D, the School Entrance Health Form and show a certified copy of the child’s birth certificate.

Communication
Parents are encouraged to communicate with the staff on a daily basis. We welcome suggestions and volunteer assistance.

Field Trips
Field Trips are scheduled on Wednesday each week except Week 4 when it is scheduled for Thursday. Please refer to the announcements in the Gym foyer for any special details of the trip.

Lockers
Lockers are provided in the Gym for camper’s belongings. Please make sure that all belongings are labeled.

Emergency Closings
In the event of an emergency closing or situation the following will be considered standard policy:

  • Announcements will be made on radio and TV stations immediately. (WTKR, WAVY, WVEC, WTAR)
  • In the event of closing for bad weather, before school opens on the following day, an announcement will be made on the above stations by 6:45 a.m.
  • For bus students, it is important that an older sibling or friend (who rides the same bus/carpool) should be designated as “babysitter”. A neighborhood house for shelter and safety should be designated if a parent is not home. It is also helpful for carpool parents to determine in advance who would pick up campers.
  • NSA has a Crisis Plan in place for a “Lock Down” or “Mass Evacuation”. In the event of a situation which would require the evacuation of campers, all campers would be transported by school buses to the Open Door Church located at 816 Kings Fork Road, Suffolk, Virginia. (757) 934-2671.

Summer Programs Crisis Plan

Lock Down:

  • An administrator will announce the lockdown
  • All doors, both classrooms and building, will be secured
  • Teachers should immediately lock classroom door, close blinds and lock windows; keep students away from windows
  • Take roll; notify Mrs. Lovell (x2504) if anyone is missing
  • Red and green cards should be taped near the classroom door. If all students are accounted for and there are no injuries, slide the green card under your door. If you are missing students or students are injured and need medical attention, slide the red card under the door.
  • Students in the Gym should remain there; You will be directed if students should return to the classroom from these areas
  • Classes should remain in the classroom.
  • Areas to be checked, including restrooms:
    Alexander: 4th grade hall to Kindergarten
    Lovell/Rock: Camp Gym
    Curry: both halls in the Grade 5-7 Building
  • Secretaries will remain in the office
  • Students and teachers will remain in classrooms until further notice
  • Announcements will be made by PA system or by phone
  • All further announcements will originate with an administrator

Evacuation:

  • An announcement will be made for all students to return to their classroom
  • Take roll; once all students are accounted for, keep roll book and medication alert list with you at all times
  • Mrs. Rock will check the Grab and Go bag to ascertain that all necessary contents are included, particularly student medical information
  • Students will remain with teachers in classrooms until buses are available to provide transportation to the Open Door Church
  • Once buses arrive, students, teachers and counselors will move to Open Door Church accompanied by Assistant Headmaster and Camp Director.
  • At the Open Door Church, Kindergarten students will be located in the upstairs preschool rooms
  • Grades 1-7 will be located in the sanctuary
  • Once all students are at the Open Door Church, siblings will be paired in educational hall
  • Should we need more than 1 night in an evacuation and more space, we will go to Providence Church, 3109 Providence Road, Suffolk, VA 23434, phone 539-9582. Siblings will remain together.
